Many healthcare organizations struggle with efficient methods for numbering policies. Here, we provide a simple method that can be used in both small and large healthcare organizations.
1. If your healthcare organization has multiple sites, consider beginning with a three letter abbreviation to designate the specific site. For example, policies from General Hospital-Northwest Clinic would begin NWC. If your organization does not have multiple sites, this step is not necessary.
2. Next, organize your policies and procedures into departments for ease of reference. Designate each department with a three letter abbreviation. For example, Administration policies would be designated ADM.
3. Once policies are broken down by sites and departments, assign each a four digit number. For example, the first policy in the Administration department would be 0001. Therefore, the Administration policies for Northwest Clinic would be NWC-ADM-0001.
This numbering convention will prove beneficial as your policy and procedure library continues to grow, and will allow you to catalogue and reference policies with ease.
