One challenge that many organizations face is higher expectations married with fewer resources, less staff and diminishing budgets. This is a problem that many of our clients face and one we have faced as a company.
As clients needs and expectations grow every company needs to grow with them by aiming to improve their products and services. This often involves being a company that is capable of criticizing themselves and their product objectively, which can be a difficult thing to do. It also involves listening to a customer’s recommendations, needs and complaints.
Starting Off With Policy Manager
Due to these increasing pressures placed upon organizations over the years there have been some instances, particularly in those with large numbers of staff, where there have been difficulties in implementing new policy management software. After all, implementing a whole new policy management system can be a daunting task that requires a lot of time and dedication. There is also the issue of cost.
Many of our clients felt they needed policy management software but couldn’t dedicate enough staff or the time. This resulted in issues with rolling out the software. They were skeptical about these issues and felt that they would not receive enough support. We took this skepticism onboard, conducted a whole scale reevaluation of how to deliver our product and concluded that a concierge service would aid our customers. The concierge service would be a completely client focused service to address all issues during the implementation of Policy Manager. More than that, the concierge service wouldn’t just be a service but a person who was wholly committed to and embedded within that particular organization until the project was completed.
New For 2015
Keeping this experience in mind we have listened to what our clients have told us in 2014 and as a result are excited to announce some new developments for 2015 based on the feedback we have been getting and subsequent research we have conducted.
New Contract Pressures
Due to new mandates there is increasing pressure on healthcare providers to manage the oversight of their business associates. Another example of the increasing workloads and expectations put upon healthcare providers. As such we sought to research into ways we might be able ease this increasingly fragmented framework.
The Future
We utilized the vast experience of our team that has been helping hospitals manage documents for over a decade to try and formulate a solution. To that end we are creating a unique offering in healthcare- Contracts Manager.
With this new integration, clients will be able to oversee, regulate and manage the compliance, according to HIPPA regulations of all their business associates and their contracts in general. So we are creating what you might call a business associate management tool alongside our contracts management tool.
Healthcare Policy Management Software: Contracts Made Easy
From speaking to our clients we understand you have contracts with hundreds of vendors out there that are your business associates at the healthcare facility. Today you have to manually and tediously go through all of those, collate the facts, and contact them and try to figure out whether they’re in compliance with things such as HIPPA regulations. Healthcare providers are now mandated to do this and we appreciate how difficult and frustrating this must be. That’s why we are going to create an automated means for you to have all of that information come back to you from all of those business associates in the form of Contracts Manager.
Healthcare Policy Management Software: The Evolution Of Form Management
We always wanted to develop a forms management system as there are many similarities to a policy management system and in many ways the two are intertwined. This therefore makes it easier for staff to find related documents. Historically our clients based on their own ingenuity (not ours) started using policy management software to also manage forms. We knew they wanted to take the use of forms management further and instead of building our own forms manager we decided to collaborate with a company we have admired for over a decade the specialized in forms management for hospitals. That company was- Formatta.
Exciting Collaboration
It therefore became evident that both Policy Medical and Formatta shared many of the same clients, clients they both had excellent working relationships with. It made sense for us to approach Formatta to see if there might be an opportunity to create a new integration that would benefit existing and new organizations. This new project is a forms management application that will integrate, very tightly, with the policy and procedures management tool. It will also integrate with any of our other document management tools, such as clinical order sets and contracts.
Your Needs
Of course every healthcare organization has different needs and requirements and our new features will not be necessary for everyone. That said it is often the frontline staff that have to carry the burden of implementing these practices. We hope our software can help ease that burden through our research and development. These new offerings will be ready within the next 4-6 weeks.
