Many of the articles we’ve written on our blog and our Knowledge Center thus far talk about the ins and outs of policy management software, the best companies on the market that provide the software, the best ways to implement it, etc. But after speaking with a few customers new to GRC and the compliance profession we realized we haven’t addressed the question of what IS policy management software? Let’s fix that.
Put simply, policy management software is a web or cloud based application that allows users to better organize, edit, and circulate their policy and procedure documents. Within the healthcare world, policy management software also provides added security and permission options for sensitive information and documents; it allows open and easy collaboration between policy creators and editors; as well as provides a sign-off feature for training and legal purposes.
For example, with so many new policies and procedures and healthcare regulations constantly being put into place, policy organizers need a way to ensure that all hospital staff has read and understood these policies. Without a policy management software in place, staff must manually sign off and “attest” that they have read these documents. Meanwhile, their supervisors must keep track of each staff member and potentially chase them down to receive this confirmation. Without it, a hospital could be liable if an error occurs relating to that particular policy. A policy management software program makes this an easy and automatic process.
